About the role
The Senior Operations Associate holds a key position contributing to the effective and efficient achievement of the operational aspects of the Climate Finance (CF) program’s business plan objectives. Additionally, the Senior Operations Associate will provide comprehensive HR support, office management, and program management support to Climate Policy Initiative’s (CPI) UK team, which has ~25 staff members.
The Senior Operations Associate must have outstanding judgment and the ability to take the initiative across a broad spectrum of activities and situations. This position requires an independent and enthusiastic personality with strong organizational and interpersonal skills. The successful applicant will report (in the near term) to the UK Director as well as working closely with the HR Manager in London, Global Operations team, Senior Accountant and Operations Manager in San Francisco.
Roles and responsibilities
Includes the following and others as assigned:
Operations Management:
- Work with the global operations team to implement operational procedures and systems including expense reporting; resource allocation and time tracking; and knowledge management.
- Provide administrative support to the Climate Finance team including scheduling team meetings and managing logistics for team events.
- Support the implementation of internal project management policies and procedures including program budget support and capacity planning.
- Provide direct support to assist with coordination of calendaring / scheduling, travel planning, and document preparation for the UK Director.
- Support UK Director; Global People Manager and Operations Manager in the effective implementation of CPI Climate Finance’s global policies and procedures.
- Provide admin support for business development requests
HR and Team support:
- Support office administration of benefits plans and payroll functions.
- Coordinate recruiting, onboarding, and off-boarding processes for UK team new hires and other global hires as necessary.
- Interface with benefits providers and serve as point person for UK-based staff benefits queries and updates, including coordinating annual benefits open enrollment.
- Draft, edit, and update job descriptions as needed.
- Maintain and improve HRIS Bamboo for managing employment relationships.
- Participate in review and updating of policy manuals on a regular basis.
- Coordinate visas, work permits, and immigration documentation for foreign employees.
- Coordinate UK-based employee celebrations (e.g. birthday cards, holiday party, happy hours, etc.)
- Support the Operations and Senior Management Team members in addressing other personnel and operational matters of the organization as needed.
Office Management and IT Lead:
- Lead IT & Systems administration for UK and global team. Ensuring IT equipment for staff is high quality and functioning; including liaising with UK IT provider, managing IT subscriptions and access and supporting IT projects and improvements.
- Coordinate with the office management company on issues and improvements regarding CPI’s office space.
- Lead office management for UK team, including managing office supplies and managing suppliers and related expenses; and incoming electronic and physical communications.
- Manage basic accounting requirements of the office including credit card reconciliation, supplier invoicing and expense reports.
- Support with UK Vendor contracts and invoice processing as needed.
About you
- Proven experience in providing high quality administrative support. Experience working in an international and/or not-for-profit organization or in program administration is desirable.
- Experience of Microsoft Office Suite required. Experience of Bamboo HRIS, UK Payroll or HR benefits and/or Sage Intacct desirable.
- Written and spoken fluency in English is essential.

Position Details
CPI is recruiting for one full time position in our London office.
CPI has adopted a flexible working policy whereby staff are able to work remotely to a degree (with an expectation of a minimum of two to three days in our shared office space; which also has space for team meetings and collaboration.
CPI offers a highly competitive salary and benefits package. Compensation will be commensurate with experience in line with CPI’s compensation framework.
